Please remember that rooms are reserved on a first come first served basis and that once a room block at a hotel is full, you will need to contact your second or third choice – so don’t delay.

THE DOUBLETREE will be our HOST HOTEL. Right on Broad Street, it is in the middle of the University of the Arts, directly across from our main performance venue and next door to the building which houses the majority of our workshops and special events. It will house our student ballroom/social gathering spaces.

Rates & Reservation Guidelines
The Doubletree Hotel Philadelphia welcomes and is proud to host the Kennedy Center’s American College Theater Festival during the dates of January 12-18, 2009.
To ensure that your stay is both comfortable and productive, we have provided the following reservation guidelines and hotel policies.
Group Name: 2009 KCACTF
Rates: $159 S/D/T/Q occupancy
GTD/Cancel Policy: 48 Hours
Early Departure Fee: $50.00
Cut Off Date: December 13, 2008
Reservations:
- Reservations can be made by calling toll free to central reservations at 800-222-TREE (8733), please mention 2009 KCACTF and the conference dates. Reservations must be guaranteed with a credit card or you can register online at the following link (link here)
- If you are making multiple reservations you can book up to 9 rooms at central reservations, or a total of 4 rooms online. We ask that you submit a rooming list with the confirmation number, arrival and departure date, and any billing instructions to our group sales department by fax at 215-893-1664 or email to stephen.calloway@hilton.com, a minimum of 2 weeks prior to your group’s arrival.
- Reservations will be accepted until the cut off date of Dec 13, 2008 or until the group block is consumed, whichever comes first.
- If you need to cancel your reservation(s) you must do so 48 hours prior to your arrival. Any reservation(s) cancelled after that will be charged 1 night’s room and tax.
Method of Payment:
- We accept any major credit cards for payment (MasterCard, Visa, American Express, or Discover)
- Company/school checks will be accepted but must be received no later than ten business days prior to the first day of arrival. Checks are payable to Doubletree Hotel Philadelphia and must have the confirmation number on the check. All checks can be sent to the attention of “In-House Reservations”
Hotel Policies:
- Due to fire code regulations, our guestrooms can accommodate up to only 4 people. If there are more than 4 guests found in a room you will be asked to rent another guestroom for proper accommodations or vacate the hotel.
- Please be mindful of other guests in the hotel and keep noise levels to a minimum. Every effort will be made to keep the group together, however the hotel has a zero tolerance noise policy. If there is a noise complaint from other guests you will be issued a warning. If there is a 2nd noise complaint you will be asked to leave the hotel premises.
- No underage drinking or illegal substances are permitted in the hotel guestrooms. Either of these violations will result in immediate expulsion from the hotel premises and the involvement of law enforcement.

Cut Off Date: December 12, 2008
Reservations:
- Reservations by attendees must be received on or before Friday, December 12, 2008, after that rooms will be offered at the prevailing rate based on availability.
- There are a number of double beds available but they will be offered on a first come, first serve basis based on receipt of payment.
- The Marriot regrets that it cannot reserve rooms without a complete room list and will work with each school in order to help expedite purchase orders, invoice payment or credit card payments. Please fax your room list to 215-625-6780 at and we will immediately generate an invoice for payment. Schools who are interested in paying for the rooms by check are encouraged to do so in advance as the rooms cannot be confirmed without payment.

Transportation and Parking:
Parking is expensive in the city. You can assume upwards of $20/day. Please encourage students to take public transportation as all events are in walking distance and cars should not be necessary.

Student Volunteers and Grants
We are looking for student volunteers to assist in all areas of festival programming: Registration, Special Events, National Playwriting Program, Directing, Irene Ryan, Dramaturgy, National Critics Institute, Design, Technology and Management, Invited Productions, Fringe, and administrative areas.
We will be offering a number of registration grants again this year for students selected for leadership positions in their area of interest.
If you would like to donate just a few hours of your time to assist in an area of interest and not commit yourself for the whole festival, that would be fine, too!
